How It Works

Most sourcing relationships fail at the seams — between quoting and production, between production and shipping, between shipping and arrival. This page is about what happens at each seam.

Stage 1 — Specification

You send: a drawing, a sample photo, an existing supplier’s specification sheet, or a description of the application.

We do: review it against what factories actually need to quote. Most first enquiries are missing one or two critical parameters — the material being cut, the machine’s power rating, or the acceptable tolerance. We come back with questions rather than a vague quote.

Timeline: 1–2 working days.

You receive: either a confirmation that we can source it, or a clear statement that we cannot and why. We would rather decline early than quote badly.

Stage 2 — Shortlist and quote

We do: identify three to five factories capable of running the specification, request quotes against an identical scope, and visit any we have not worked with before.

Timeline: 3–5 working days.

You receive:

ItemDetail
Comparison tableUnit price, MOQ, lead time, payment terms, per factory
RecommendationWhich factory and why, including the trade-offs
Factory identityNames, not anonymised codes
Verification notesRegistration status, export history, visit findings

There is no charge for this stage and no obligation to proceed.

Stage 3 — Sample and approval

We do: arrange samples from the recommended factory, inspect them against the specification, and ship them to you. If the sample is close but not right, we go back to the factory with specific findings rather than a general complaint.

Timeline: 5–12 days plus shipping.

You receive: samples, our inspection notes, and a written reference specification that becomes the acceptance standard for production.

Cost: sample cost plus freight at cost. If you place a production order, we credit the sample cost against the commission.

Stage 4 — Production

We do: place the order, monitor the production schedule, and flag slippage early. We do not wait for the delivery date to discover that the run has not started.

Timeline: 15–35 days depending on tool type and factory load.

Payment structure: typically 30% deposit on order confirmation, 70% balance after inspection and before shipment. The exact split is negotiable and depends on the factory.

You receive: production status updates at agreed intervals, and immediate notification if anything changes.

Stage 5 — Inspection and release

We do: inspect against the reference specification. See Quality Inspection for the full scope.

The critical sequencing: the balance payment is released to the factory only after the inspection report has been issued to you. If the goods fail, the balance does not go out. This is the single most important structural protection in the whole process.

You receive: written report, measured values, photographs, and a release / rework / reject recommendation.

Stage 6 — Consolidation and shipping

We do: receive goods from all factories into our Zhengzhou warehouse, check quantities, photograph as received, relabel to your format, palletise, and consolidate documentation into one set.

Timeline: 2–5 days for consolidation, then transit depending on route.

You receive: one commercial invoice, one packing list, one set of origin documents, photographs of the actual cartons, and tracking.

See Freight & Logistics for route options and transit times.

Stage 7 — After arrival

If something is wrong, raise it with us. We handle the claim with the factory, negotiate replacement or credit, and manage the paperwork. We do not disappear after the container sails — the second order is the one that matters.
